Quick Start Guide to AI Photo Editing Ordering

This guide will walk you through the process of submitting a new photo editing order.

Step 0: Set-up your company's Photo Editing default settings

To accelerate and improve the consistency of your Company's photo editing experience, we recommend that you set-up your company default styles and integrations in Photo Editing Settings. These settings are available to Manager user types, and more information can be found in this guide.

While you're getting things set-up, we recommend checking out our best practices for AI Editing.

Step 1: Determine the Photo Editing Order Type and Begin!

CubiCasa offers two ways for you to get beautifully edited photos: Scan-bundled editing and Standalone photo only editing. The process of configuring and uploading your order is the same, but the way you start the order is different.

How to Begin: Scan Bundled Editing (Lite/Standard/Plus):

Ordering your photo editing as a part of a Plus bundle provides the most comprehensive set of deliverables. If you are trying to add AI Photo Editing to an order that includes a Floor Plan scan, please follow the following steps:

  1. Locate the order you wish to add editing to by visiting Order History and locating the address

  2. Navigate to the Photo Editing tab of the order

    1. Option 1: Click the + icon in the Photo Edit column in Order History

    2. Option 2: Click the order row and look for the Photo Editing tab within the order

A few key things to keep in mind when adding edits to Plus orders:

  • IMPORTANT: For Lite/Plus/Standard orders, a CubiCasa floor plan scan must be successfully uploaded before you can add photos for editing.

  • If you see "Unsent scan" in the Photo Edit column, please check your mobile app to confirm that the scan uploaded correctly.

    • Once a scan has been successfully uploaded, you will see the + icon in the Photo Edit column. Click it to begin creating your order.

How to Begin: Standalone Editing:

This service is ideal for situations where you simply need editing support without floorplans, tours, 3D products, etc. To start your Standalone order:

Step 2: Configure Styles and Tour Setup

Once you have selected an order, or started the Standalone order, the next screens allow you to choose the settings for your photo editing.

Stylistic Configurations

By default, the top section of this page displays your company's preferred editing style selections as described in Step 0. We recommend caution when modifying these styles to ensure your final photos remain consistent with your organization's standard delivery style. Learn more about available style options.

Why is there a lock icon on the settings?

If you see a lock icon on any of the dropdown, it means your company's account Manager has locked these settings to the company defaults. If the settings are unlocked, however, you can modify them to guide the style of your delivered files.

Tour Setup

Plus and Plus 3D orders include a CubiCasa Tour at no extra cost. When you order your photo editing through CubiCasa, your edited images can automatically import into the Tour, eliminating manual upload steps. Lite and Standard orders can upgrade to Plus during setup to gain access to the Photo Tour. Standalone orders are not eligible.

Create Tour for Me vs. I'll Create Later

  • Create Tour for Me (default) — We create the Tour for you as soon as your edited photos and floorplan are ready. This is the fastest, most hands‑off option.

  • I'll Create the Tour — If you prefer to configure the Tour yourself after photo delivery then choose this option.

    • If you start with this option and want to automatically place the photos after delivery then you will have a "Create Tour" option after delivery.

Step 3: Select Your Photos

You can bring files into your order in one of two ways:

  • Local Files — Choose images stored on your computer and upload them directly.

  • Import from Dropbox — Pull images from your company’s authorized Dropbox account. Dropbox access must be enabled by your Company in Photo Editing settings.

Important: For each order, you must choose one import method. Local and Dropbox files cannot be mixed within the same submission.

File Types and Maximum Sizes

​Our system supports most common Raw and Compressed file sizes. For more detailed specifications about what is allowed, please read our supported file types guide. There is currently a maximum upload size of 100MB per file.

How Grouping Works

After you select your files, the system analyzes the metadata and performs an initial Automatic grouping of bracketed sets. This early grouping is designed to:

  • Improve pricing — By identifying bracket sets up front, we can estimate the number of delivered photos more accurately and provide a clearer cost estimate.

  • Assist with file management — Grouping helps you confirm that all expected files are present. You can click any group to remove individual images or entire sets if needed.

What happens if the grouping is incorrect?

Things happen and system's aren't always perfect during pre-processing. The system gives you two additional options to make sure we accurately process your images.

Fixed Groups

If your photos follow a consistent bracket pattern (e.g., always 3 or 5 photos per set) and the Automatic Grouping is inaccurate, select Fixed Groups. Define the exact number of photos per bracket, and the UI will re-group all images based on that value.

Manual Group Management

For precise control over specific images within groups, use the manual adjustment tools:

  1. Select the specific group in the Gallery that needs a change.

  2. A Group Management panel will open on the right.

  3. Select individual images and click Modify Grouping.

  4. Choose to either Create a new group or Move the selected files to a different existing group.

Important:

The visual groupings you see in the Web UI are exactly what will be submitted to the AI model for photo editing during initial order creation or if you add additional photos. It is vital that you review and correct your groups before submitting, as incorrect groupings will lead to poor editing results. Learn more about photo grouping.

Step 4: Submit Your Order and Upload Your Photos

Once you've confirmed your groups, and after reviewing your order details, confirm your selections to begin the upload. Once the upload completes, the order will move to Pending status and the processing will begin.

Outline of the Submission Process

  • Review and Submit — After you confirm your order summary, the photo upload begins automatically.

  • Status Updates — While files are uploading, the Photo Edit column in your Order History shows Uploading. When all files have successfully reached the AI Editing system, the status updates to Pending.

  • Background Uploading — Uploading runs quietly in the background. You can start another photo editing order or continue working elsewhere in the platform without interrupting the upload.

  • AI Processing and Completion — After all files are uploaded, the AI system processes your order. When editing is complete, the status changes to Ready, and you’ll receive an email notification

Important Note: If using Local File upload, it's critical that you do not close your browser or move the files you've selected for upload once the process has begun. Doing so may cause the upload to fail. If you submitted files via Dropbox then this limitation does not apply.

How Long Will Processing Take?

The turnaround time for AI Photo Editing depends on the number of photos submitted, the style configuration, and the current volume of orders in processing. Most orders are returned within 10–40 minutes once all photos have been uploaded. Up to 1 hour is within the expected range — if your order hasn’t arrived after that, please reach out to our support team.

If you are uploading from your local computer the time to transfer the files to our system may be substantial and will depend on the total size of all images and the speed of your internet connection. If your upload is taking longer than expected, check your internet connection and ensure you have not closed your browser tab during the upload.
